system at Jeta Gardens was
"untidy, cumbersome and hard
to manage" according to the
facility's director of care Clarice Williams.
It had all the classic problems of
a paper-based system, Williams says,
including illegibility, missing or incomplete
information, and damaged or lost charts.
Medication changes were a particularly
"arduous task" as they involved staff
photocopying medication charts and
faxing copies to the pharmacy.
Jeta Gardens had previously seen a
demonstration by MPS of its DosEdge
electronic medication management
system when it was in development phase.
And because the facility was already
computerised in all other areas of the
business, from care plans to staff diaries,
Williams says it made sense to implement
an electronic system.
DosEdge is a portable electronic
charting application which provides
clinical staff with access to a resident's
medication records at the time of dosing.
Williams says that since it was
implemented in May 2013, staff report
considerable time savings in medication
rounds. She also praises the system's
effectiveness in improving access to, and
quality of information.
Echoing this, MPS corporate
relationship manager, Katie Cooley,
says aged care facilities are embracing
electronic tools as a means of creating
efficiencies that leave more time for
resident-focussed care. "With DosEdge,
we're trying to provide a system that
reduces the pressure on our industry,"
However, the move to an electronic
system has had another important
benefit for Jeta Gardens -- improved
communications with its pharmacy.
MPS also supplies a national network
of pharmacies with an outsourced dose
administration aid service and electronic
medication management system. Think
Pharmacy Acacia Ridge, which dispenses
to Jeta Gardens, maintains Jeta's resident
medication records in MPS HealthStream,
a web-based medication management
software. DosEdge draws on this e-health
record providing the staff at the facility
with real-time access to any changes.
Pharmacy manager Barry Wong says
one of the added benefits of DosEdge for
aged care facilities is that medication can
be ordered online. "To re-order medication
they just need to click on the shopping bag
and the order goes straight through to our
dispensing system," he says.
Discussing the rollout of the software
at Jeta Gardens, Williams says it was
crucial that staff were involved from
the outset. MPS came to the facility to
give a demonstration and illustrate the
program's ease of use, she says. There was
also a trial period in which a number of
staff tested out the system.
"Because the old system was so
cumbersome, staff were really keen to
move to the new system. MPS came a
week before we went live, updated all the
data and we were ready to go. Within a
day of using the new system, everybody
was au-fait with it; it's an easy system
to work," says Williams.
Yang Li, a nurse at Jeta Gardens,
says the system provides her with
extra information she finds useful in
doing her job.
"There are photos of the tablets so
we can double-check them, alerts that
sound to ensure there's been enough time
between medication, as well as alerts to
highlight changes in medication to us,"
Li was part of the initial group
trained to use the system before its
implementation. "It was easy to learn," she
says. "In fact we had an agency nurse here
recently and she picked it up after one
Williams is hopeful the system will
be further developed in time, to include
greater functionality. In particular, she
hopes it can be linked to the facility's
clinical management program. "So
when we do a PRN medication it will
automatically go into the progress
notes and you don't have that double
documentation. That would be a
more time efficient and effective
She offers some simple advice to
other facilities thinking of going down
the electronic route: "Get the education
in place prior to implementation, like we
did; have the support team behind you.
And then, just go for it." n
